Payment & Booking Acknowledgement

Thank you for choosing to travel with us. LuxNomad Travels, LLC, doing business as Ember & Co. (“we,” “us,” “our,” or “Ember & Co”) creates curated group travel experiences, and we’re honored you’re considering joining one of our journeys.
These terms and conditions cover all group travel products and services you purchase through Ember & Co. We know legal documents aren’t the most exciting read, but they contain important information about your travel experience with us.
By booking any group trip with Ember & Co., you’re agreeing to these terms.
INDIVIDUAL REGISTRATION REQUIREMENT
☐ I understand that each traveler must register with their own unique email address and complete their own individual registration form, even if traveling together as a group.
☐ If I am booking for multiple people, I acknowledge that each person must:
- Use their own separate email address
- Complete their own registration
- Process their own payment (unless I am the designated payment coordinator for a group)
☐ I understand that bookings made with duplicate email addresses or shared registrations will be automatically canceled and refunded minus a 3% processing fee. I will be required to rebook properly with individual registrations for each traveler.
PAYMENT AUTHORIZATION
☐ I confirm that I am authorized to use the payment method provided for this booking. If using a card that is not in my name, I certify that I have explicit permission from the cardholder to use this card for all payments related to this travel booking with Ember & Co.
☐ I agree to the payment terms and conditions set forth in Ember & Co’s Terms & Conditions and will not dispute or initiate chargebacks on any authorized charges.
☐ I understand that Ember & Co is not responsible for payment failures due to card authorization issues, daily limits, insufficient funds, or incorrect payment information provided.
☐ I am responsible for making all payments by their specified due dates. Late or missed payments may result in late fees, trip cancellation, or removal from the booking in accordance with Ember & Co’s payment policies.
CANCELLATION & REFUND POLICY
☐ I have read and understand Ember & Co’s cancellation and refund policy, including: All deposits are non-refundable. Refund timelines based on cancellation date (200+ days vs. 0-199 days). Special promotional booking restrictions. No-show and documentation failure policies
☐ I understand that I am solely responsible for any cancellation penalties, supplier fees, and out-of-pocket expenses incurred if I need to cancel my trip.
TRAVEL INSURANCE
TRAVEL INSURANCE
☐ I acknowledge that travel insurance is NOT included in my booking with Ember & Co.
☐ I have been informed that I am under no obligation to purchase travel insurance through Ember & Co’s partner (Faye Travel Insurance), and I may purchase coverage from any provider of my choice.
☐ I understand the financial risks of traveling without “cancel for any reason” travel insurance, including loss of all payments if I need to cancel for any reason.
☐ I understand that I am solely responsible for:
- Medical coverage and emergency evacuation while traveling
- Trip interruption or cancellation costs
- Lost luggage or personal belongings
- Any losses due to supplier defaults or travel disruptions
TERMS & CONDITIONS
☐ I have read, understood, and agree to be bound by Ember & Co’s complete Terms & Conditions for [Group Travel / Bespoke Travel].
☐ I understand that by completing this booking, I am entering into a binding agreement with LuxNomad Travels, LLC (DBA Ember & Co).
FINAL NOTES
These terms represent the complete agreement between you and Ember & Co travel services. They replace any previous agreements and can only be modified in writing.
If any part of these terms is found to be unenforceable, the rest remain in full effect.
