If you are traveling with us solo and elect for double occupancy, you will be paired with another LuxNomad Travels member based on your preferences. You will be matched with a roommate once you have paid more than 50% of the trip balance and will then be provided the contact information of the person you will be matched with.

Please Note: that if 90 days before your trip, you do not have a roommate, you will be required to pay the single occupancy supplement. Payment of the single occupancy supplement can be paid in even payments and due within 45 days of departure.

Male Travelers

We’re proud to welcome both men and women on our trips. However, due to the typical guest makeup, our groups often have a higher ratio of female travelers. If you’re a male guest traveling solo, you’ll be required to book a single occupancy package to ensure a smooth and comfortable experience for everyone. If you're traveling with a friend and wish to room together, double occupancy is absolutely welcome, just be sure to indicate this in your registration.

Napa Valley Release of Liability & Guest Acknowledgment

We are excited that you have chosen Ember & Co. for your upcoming Napa Valley experience. This itinerary has been thoughtfully designed to balance curated wine experiences, shared meals, leisure time, and guided activities throughout the weekend.

Please review the full itinerary carefully prior to completing your registration. While every effort is made to create a safe, well-organized experience, travel and group activities involve inherent risks, and unforeseen circumstances may occur.

By registering for this trip, you acknowledge and agree to the following:

Assumption of Risk

I understand that travel and group experiences may involve inherent risks, including but not limited to walking on uneven terrain, standing for extended periods, transportation by road, participation in wine tastings, and exposure to alcohol. I voluntarily assume full responsibility for my participation in all scheduled and optional activities.

Activities & Physical Considerations

I confirm that I am physically and mentally able to participate in the itinerary as outlined. I understand that some activities may involve walking, standing, or navigating winery grounds. I acknowledge that I may opt out of any activity at my discretion, and that no refunds will be issued for missed activities.

Alcohol Consumption

I understand that wine tastings and alcohol-inclusive experiences are part of this trip. I agree to consume alcohol responsibly and understand that Ember & Co. is not responsible for incidents, injuries, damages, or losses resulting from excessive or irresponsible alcohol consumption.

Transportation Policies & Guest Financial Responsibility

I acknowledge that private group transportation is arranged for scheduled activities during the trip through licensed third-party transportation providers. Ember & Co. does not own or operate transportation services and is not responsible for actions, damages, or fees assessed by the transportation provider.

I agree to follow all transportation guidelines provided by the driver and trip host.

I understand and agree that I am financially responsible for any costs, incidentals, or fees incurred as a result of my actions during transportation services, including but not limited to:

Interior cleaning fees (minimum $250)

Hazardous waste cleanup, including vomit or bodily fluids (minimum $1,000)

Damage to vehicle interiors or exteriors

Overtime charges incurred beyond contracted transportation hours

Fees resulting from late arrival, delays, or extended stops

Charges related to unauthorized or additional stops

I authorize Ember & Co. to charge the credit card on file for any such transportation-related incidentals or fees assessed by the transportation provider as a result of my actions. These charges are non-negotiable and will be processed as incurred.

Third-Party Vendors

I understand that accommodations, transportation providers, wineries, restaurants, and activity operators are independent third parties. Ember & Co. acts solely as a coordinator and is not liable for delays, cancellations, injuries, losses, damages, or changes caused by these providers.

Travel Insurance

I acknowledge that travel insurance is strongly recommended. I understand that I am responsible for securing appropriate coverage for medical expenses, trip interruption, cancellation, or loss of personal belongings.

Release of Liability

In consideration of Ember & Co. arranging this travel experience, I hereby release, discharge, and hold harmless Ember & Co., its owners, employees, contractors, hosts, and affiliates from any and all liability, claims, demands, or causes of action arising from injury, illness, loss, delay, damages, expenses, or incidents occurring during or in connection with the trip.
